Current as of 11/20/09 .These policies and rental statements are subject to change at any time.  Changes or updates will be forwarded to any parties under agreement for future dates.

 

1—All dates for use including scheduled public events and private fee-based events shall come through the booking office to ensure availability. This includes church dates for St. Luke established times.   The CCC Board requests church dates be established on a 30-day advance basis when possible so the building calendar may be published by the 20th of the preceding month.

 

2—For fee-based rentals, a building supervisor will open and close the building.

Public hours of operation currently are  7 am- 3 pm, Mon-Wed, Fri, and

7 am-10-am Tuesday, Thursday and Saturday.

The above hours include use of the gymnasium for walking and individual exercise, no team sports

For conflicts with a private event, revised public building hours will be posted in advance at all entrances.

Public hours are subject to change as programming is added.      

 

3—The building capacity, based on fire codes shall be set at  400.

 

4—The building and parking lot shall be vacated no later than 1 a.m. for any scheduled event on Friday or Saturday night and 10 p.m. on any weeknight.  

 

5—Loitering and alcohol in the parking lot is prohibited at all times.           

 

6—Fee rentals are secured and confirmed when the appropriate deposit has been accepted on a timely basis as outlined in the user agreement. 

 

7--The rental deposit for private events will be due within 10 working days of the agreement date.  For non-profit organizations, a copy of the tax exempt ID is required with payment.

 

8—The balance of fees ( rental fee plus any add-on fees) shall be due a minimum of 5 working days prior to the event date.

 

9—For add ons—the guaranteed usage and/or quantity of such items must be re-confirmed prior to final payment if different than the original contract.

 

10—Only wine and beer may be served in the building.  It may not be sold.

A uniformed security officer must be on-site when alcohol is served.  This add-on fee will be a part of the user agreement. The CCC will contract for security services on renter’s behalf.  One security person for up to 200 guests, two for over 200 guests is suggested.

 

11—Use of alcohol in the building must be approved along with the rental agreement.  The serving of wine and/or beer will be authorized for organized events only with paid security present.  Alcohol is only to be served by a facility approved caterer or bartender from the kitchen area only.  Beverage service may be from kegs, bottles or cans. 

  Alcoholic beverages may not be consumed on the outdoor patio except during authorized, organized events.

 Note:  Beverages of any kind may NOT be brought onto the gym floor when it is uncovered. 

 

12—Renters may select their caterer from a preferred list of caterers   Contact information and a copy of caterer’s insurance must be on file with the CCC prior to an event.

 

13—Cooking of foods in the kitchen must be pre-approved with an agreement contract.  Caterers and individuals may bring in prepared food and use the kitchen facility per agreement on usage.

                       

14—The CCC Board reserves the right to refuse use/rental to any individual or organization.

           

15--The calendar for rentals consisting of full days,  8-12 hours or greater shall be open at least 12 months in advance.  Calendar bookings for hourly events shall be available 90 days in advance.  Local sports practice and frequent users may book in 30-day increments.

 

16—Should a rental be requested during St. Luke leased time, it shall be the sole discretion of St. Luke Church to give up this time for a rental by the CCC.

 

17—Any organized event, business event, or organization hosting an event at this facility must submit a one Million dollar Liability Insurance Policy listing the CCC as Additional Named Insured if the gymnasium is used for sports or if alcohol is served.  A copy of the endorsement must be included with the agreement

 

18—If the facility is not cleaned and vacated by the agreement time, the hourly fee shall apply to additional time if during building hours. If another event is booked back-to back to your event you will be notified and there may be little flexibility on your contracted time. For events not vacated by the established building closing times, a fee of $10 per minute shall be assessed against the initial deposit. 

 

19—In all instances, the building should be left in the same condition as you entered; including but is not limited to:

                        Tables left in place

                                         Chairs in the gym stacked 6-8 high only


                        Carpets vacuumed, tile mopped

                        Bathrooms and entry ways cleaned

Kitchen counters wiped with disinfectant, equipment used cleaned and/or dishwasher loaded

Condiments and all supplies put away

All of your linens and items removed from the facility.

Trash emptied in outdoor container, extra bags are on site.

If the gym floor is used, nothing should be left on top of it.  It must be dry mopped only. 

Any accidental spills in the gym area must be cleaned up immediately! 

The Building management will always cover and uncover the gym floor.  Individuals should NOT attempt to do this.

Please check that all coats and personal items are removed from the facility.

There will be a walk-through after each paid usage.   Any required cleaning or repairs will be deducted from the initial building deposit fee.

 

20—This is a non-smoking building.  Smokers may use the outdoor patio area to the East side of the facility.  Please use the ashtrays provided. It is the responsibility of the user party to see that guests comply with this policy.

 

21—All doors should remain closed during any private event. Excessive noise is not allowed within city limits.

 

22—Decorating the Building

·    Table top and all free-standing décor is acceptable.

·    Candles must be inside of an approved holder, no open flame candles

·    We DO NOT allow use of glitter or table confetti

·    Nothing is to be attached to any wall for any reason.

·    Live plants requiring water are discouraged, these may be placed on a tile surface only (not on gym or carpet flooring).

·    The gymnasium floor may NOT be used for a dance floor.  Please no hard-sole shoes on the gym floor.
